Qualities of good filing system

Filing is systematic arrangement and preservation of all correspondence and documents in office for future reference. There are various systems of filing.  A good filing system should possess the following qualities:

i)  Simplicity:- The filing system adopted by an office should be simple to understand and easy to operate.

ii)  Economy:- A filing system should be less expensive. The cost of installation and operation of filing system should be minimum.

iii)  Minimum space:- The filing system should occupy minimum installation and operation. Utilization minimum space in office makes the office space in layout more attractive.

iv)  Accessibility:- The records should be readily available as and when they are Accessible required. If the desired letters or records are not immediately traceable, those causes unnecessary waste of time, loss of energy and create mental tension so filing system must be rapid and effective.

viii)  Others:- It should facilitate cross reference and should be supported by a modern and scientific indexing system.
